Privacy Policy

This Privacy Policy applies to personal information collected through the RentSelect.ca website, any mobile application, API, or related service (collectively, the "Platform"). It covers all Users of the Platform, including landlords, property managers, prospective tenants, tenants, and visitors.

This Policy does not apply to third-party websites, services, or applications that may be linked from the Platform. We are not responsible for the privacy practices of third parties.

Our designated Privacy Officer is responsible for compliance with this Policy and applicable privacy laws. If you have questions, concerns, or requests regarding your personal information, please contact:

We collect personal information you provide directly, information generated through your use of the Platform, and information from third-party sources.

(a) Information you provide

• Account information: name, email address, phone number, password, date of birth, profile photo
• Identification information: government-issued ID details where required for verification
• Property information: addresses, property details, photos, descriptions, availability, pricing
• Tenancy information: rental history, employment information, income, references (where voluntarily provided)
• Financial information: income range, banking or payment details (only if and when payment services are introduced)
• Communications: messages, support requests, reviews, ratings
• Uploaded documents: leases, ID, proof of income, supporting files

(b) Information collected automatically

• Device & browser data: IP address, device identifiers, operating system, browser type
• Usage data: pages visited, features used, search queries, click data, session duration
• Location data: approximate location based on IP; precise location only with your consent
• Cookies and similar technologies (see Section 13)
• Log files and security/audit data

(c) Information from third parties

• Identity and credit verification services (with your consent — future)
• Social authentication providers (if you sign in via Google or similar)
• Analytics providers
• Public records (where lawful)

We use personal information to:

1. Create, maintain, and secure your account;
2. Operate, provide, personalize, and improve the Platform;
3. Facilitate listings, searches, matches, and communications;
4. Verify identity, prevent fraud, and protect the Platform;
5. Respond to inquiries and provide customer support;
6. Send service communications, including transactional notices, security alerts, and policy updates;
7. Send marketing communications, where permitted and with appropriate consent under CASL;
8. Conduct analytics, research, and performance measurement;
9. Comply with legal obligations, court orders, and lawful requests;
10. Enforce our Terms of Service, policies, and legal rights;
11. Plan, develop, and roll out new features and services;
12. Process payments (where applicable in future).

Under PIPEDA and applicable provincial privacy laws, we rely primarily on consent to collect, use, and disclose personal information. Consent may be express or implied depending on the sensitivity of the information and the context of collection.

By providing information and using the Platform, you consent to the practices described in this Policy. You may withdraw consent at any time, subject to legal and contractual restrictions and reasonable notice, by contacting our Privacy Officer. Withdrawing consent may limit our ability to provide some or all features of the Platform.

We do not sell personal information. We may disclose personal information to:

1. Other Users — to facilitate rental connections (for example, a landlord viewing a prospective tenant's profile only when the User initiates or consents to contact);
2. Service providers — hosting, analytics, email and SMS providers, customer support tools, identity verification, fraud prevention, and (in future) payment processors, all under contract obligating them to safeguard the information;
3. Third-party integrations — only when you choose to connect them;
4. Legal and regulatory authorities — when required by law, subpoena, court order, or other legal process, or to protect rights, property, or safety;
5. Successors — in connection with a merger, acquisition, financing, reorganization, sale, or transfer of assets;
6. Professional advisors — legal counsel, auditors, and insurers, where reasonably necessary.

Some of our service providers are located outside Canada, including in the United States. By using the Platform, you understand and consent that your personal information may be transferred to, stored, and processed in jurisdictions outside Canada, where it may be subject to the laws of those jurisdictions, including lawful access by foreign authorities. We use contractual and technical measures to maintain a comparable level of protection.

We retain personal information only as long as reasonably necessary for the purposes for which it was collected, to fulfill legal and regulatory obligations, to resolve disputes, to prevent fraud and abuse, and to enforce our agreements.

Where deletion is not feasible, we may anonymize personal information so it can no longer be associated with you.

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, and unauthorized access, disclosure, copying, use, or modification. These include encryption in transit, access controls, logging, and personnel training.

However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You use the Platform at your own risk.

In the event of a privacy breach involving a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada (and any applicable provincial regulator) as required by law.

Subject to applicable law, you have the right to:

1. Access the personal information we hold about you;
2. Correct inaccurate or incomplete personal information;
3. Delete personal information, subject to legal and contractual exceptions;
4. Withdraw consent to collection, use, or disclosure (subject to reasonable notice and legal and contractual constraints);
5. Opt out of marketing communications;
6. Request information about how your personal information has been handled;
7. Complain to our Privacy Officer or to a privacy regulator.

To exercise any of these rights, contact our Privacy Officer at privacy@rentselect.ca. You can also access, correct, or delete your account directly from /edit-profile. We may need to verify your identity before fulfilling requests. We will respond within the timeframes required by applicable law (generally 30 days under PIPEDA).

The Platform is not directed to individuals under the age of majority in their province or territory of residence. We do not knowingly collect personal information from minors. If we learn we have collected information from a minor, we will delete it.

RentSelect may use machine learning, matching algorithms, and other automated systems to surface listings, recommendations, and search results, and to detect fraud and abuse. Where automated tools materially affect a User, we provide a meaningful opportunity for human review upon request by contacting support@rentselect.ca.

Automated outputs may be inaccurate or incomplete and should not be relied on as a substitute for independent judgment or professional advice.

We use cookies, web beacons, pixels, tags, local storage, and similar technologies (collectively, "Cookies") to operate the Platform, remember your preferences, analyze usage, and (where applicable) support marketing.

We use:

• Strictly necessary cookies — required for the Platform to function (authentication, security, load balancing);
• Functional cookies — remember your preferences;
• Analytics cookies — help us understand Platform usage;
• Marketing cookies — used for advertising and remarketing (only with consent, where required);
• Third-party cookies — placed by services we integrate with (such as maps, embedded video, or analytics providers).

You may manage cookies through your browser settings or our cookie preference center where available. Disabling cookies may affect Platform functionality. Browser "Do-Not-Track" signals are not currently standardized; we respond to such signals where required by law.

Error monitoring. To detect and fix faults, each page load sends a technical session record to our error-monitoring provider, Sentry (Functional Software, Inc., United States), including before you make a cookie choice. The record contains a random session identifier, the version of the Platform, and your browser's user-agent string. If a page error occurs, a technical error report is also sent, with email addresses, phone numbers and similar identifiers removed before it leaves your browser. This monitoring sets no cookies and is not used for analytics, advertising or profiling.

RentSelect complies with Canada's Anti-Spam Legislation (CASL) and applicable communications laws. We will obtain express or implied consent before sending you commercial electronic messages where required.

All marketing emails will identify RentSelect, provide our contact information, and include an unsubscribe mechanism that functions for at least 60 days. You may unsubscribe at any time using the link in any marketing email, by updating your account preferences, or by emailing privacy@rentselect.ca. Unsubscribe requests are honoured within 10 business days.

Transactional and service messages (account, security, and operational communications) may be sent without express marketing consent, as permitted under CASL.

We do not share or sell your information to third parties for their direct marketing purposes without your express consent.

We may update this Privacy Policy from time to time. Material changes will be posted on the Platform with an updated effective date and, where appropriate, communicated by email or in-Platform notice. Continued use of the Platform after changes constitutes acceptance of the updated Policy.
